HSVW BOD meeting 6 Feb 2012, starting time 6:30pm.
Members present: Tom Funk, Duane Kraase, Dave Harder, Bob Villegas, Denton Hushaw, and Mike Thorsen. Non-BOD members: Carl Who, Adolf Juarez.
President: Recognize Guests. Proposal was made to have BOD minutes and voted-on items placed on the web site. This passed unanimously, and will begin ASAP, action Bob. Proposal was made to permit the BOD to ‘Vote/Approve’ any item using the internet/e-mail, rather than to wait until the next BOD Meeting, could be accomplished by a majority vote (4 yes) with the President and Vice president as two ‘yes’ votes and two more BOD members. If any BOD member ‘Calls for a Discussion’ that item is Tabled until the next BOD meeting. (Dave 1st/Denton 2nd, all voted yes). A HSVW widow, Lois Chism, offered a storage shed for club use for wood and toy storage. A contract will be written and both parties will sign an agreement as to exactly how it will be utilized. (Bob 1st/Denton 2nd, all voted yes). The BOD has Tom, Dave and Bob assigned to the rewrite of the club by-laws to reflect any changes and rewording for better understanding by the membership. Target date would be June/July timeline. The Tip of the Month program is a very valuable tool for the club. Other organizations have been very successful with this program as a teaching device and a communications media. Lee Smith has volunteered to champion this project and will need additional help from the membership. Additional info to follow.
Vice-president: The monthly General meeting programs are developing; with JDK for March, Sawstop for April, but a lot of open programs still. This is to be considered a ‘Dynamic’ program and any ideas or suggestions are welcome. Nothing is final with this program, until after the meeting, and then consider it ‘history’.
Treasurer: The 2012 Budge was submitted and accepted. Income for the year is anticipated to be $8,110.00. Expenses estimated at $9,175.00. Current balance in operating money is appx $10,000.00. It is hard to be exact at this time of the year, but we are financially in good condition. Budget accepted by the BOD. It was proposed and accepted that the HSVW Club will transfer our bank account to a more economical bank. It was proposed and approved that any check/expenditure greater than$1,000.00 must be signed by at least two BOD members. The club needs to recruit major sponsors. We need a marketing team that go out and seek out these sponsors. The HSVW has a great reputation and this might not be difficult if the group has marketing skills. Think about this item and please provide feedback from the members. We still have appx 50 unpaid annual dues still pending, final due date is 1 March.
Secretary: Will start to track head count at meeting as a data input to the BOD for future planning. Work with our IT/Webmaster to get the approved Minutes published on our web site. It has been proposed and accepted that the BOD provide representation to the HSV Newcomers Coffee at Ponce de Leon Center, and show our colors and what we do. This is an opportunity to recruit new members. Newcomers coffee is held every other month, Denton will be our rep for the Feb 23 meeting. I will rep the April 26 meeting. Brochures are available as handouts, and maybe a quick presentation.
Communications: Club roster is current for today. J A suggestion was made to get more publicity out to the Village People. Ideas and help are needed. Maybe a gifted promoter lives within our world. Would he/she please come forward?
Special Projects: Bookcases are on the way. Lanny Mabus has appx half of the ‘Kits’ ready to go. Please contact him for your offer of assistance. Toy Teams need to get their captains together and publish what each team will be making, and who will be involved on these teams. We are starting from zero toys and will need to make extra for sale items. Contact Terry Jasicki. The BOD has proposed and accepted a ‘Club Logo Contest’. This logo will be on signs and banners and maybe a flag that would be useful in showing our Colors around the village and special events. A program leader, judges and committee members are needed to put this project in motion. We would like to start to get ideas for the Christmas party and maybe go to a dinner program? Maybe at the Desoto Club or one of the other golf courses might be an idea?
